Sharing files in the Vectorworks Cloud Document Reviewer

The Share Document command allows you to export selected sheet layers and worksheets to Vectorworks Cloud Services, and share the file with clients and collaborators. Using any web-enabled device, recipients can open the file in the Vectorworks Cloud Document Reviewer, where they can measure or select objects from the sheets and see the information associated with the objects. Users can also add comments to the sheets and view worksheets. For more information, see Vectorworks Cloud Services and the online help for Vectorworks Cloud Services at https://cloud.vectorworks.net/portal/help/.

To share a file in the Cloud Document Reviewer:

Ensure that any rendering jobs and viewport updates are complete, and then select the command. An alert that the file will be saved displays.

If you're not currently signed in to Vectorworks, you're prompted to sign in before proceeding.

The Share Document dialog box opens. Any existing saved sets are listed. Each set displays the previous recipients, the date when it was last updated, and the number of unique link visits and comments. There are also buttons to view the file, or to copy a link or QR code that links to the file.

Click New Set to create a new set, or select an existing set and click the option to Update or Duplicate the set.

For a new or duplicate set, enter a name for the set. For an update, the current set location displays, and can't be changed.

Select the sheet layers and worksheets you want to share. Click the check box in the header row to select all items.

Click Next to continue. Depending on the share option selected, the next dialog box is called Share Document, Update Set, or New Share.

Location

Defaults to the Shared Documents folder in your Vectorworks Cloud Services folder.

To change the location and/or file name, click the button at the end of Location to open the Select shared document location dialog box. The location must be somewhere in your cloud folder.

Export options

In addition to the selected sheet layers and worksheets, select whether to export record formats, IFC data, and data sheets that are attached to the Vectorworks file

Sharing

Enter the email addresses of the desired recipients

Link expires on

If desired, select the option and then set an expiration date for the shared link

Allow comments

Allows recipients to comment on the file

Comment statuses for this shared set

Opens the Comment Statuses dialog box, for setting the status values to assign to comments.

Default: A check mark indicates the default status name assigned to comments. You can select a different name.

Name: The name of the status. When you click a status name, you can edit the name inline.

Actions: When you hover the cursor in a Name row, icons display. Click the edit icon  to edit the status name inline. Click the delete icon  to remove the status name. Hover the cursor over the move icon  to drag the row up or down.

Add new: Creates a new line for a status that you can name.

Email me when link is visited

If email addresses were entered in Sharing, select this option to receive emails when recipients visit the link

Unique visits

Displays the number of unique visitors to the link; see the Vectorworks Cloud Services help for details

Copy Link

Copies the displayed file link to your clipboard

Copies the displayed QR code to your clipboard

When you click Share or Update, the file is exported to your cloud folder. If you entered email addresses in Sharing, emails are sent automatically once the file is available.

See the online help for Vectorworks Cloud Services to view, navigate, measure, and comment on the exported file in the Cloud Document Reviewer.

When you no longer need to share a set, select it from the Share Document dialog box and click Delete. If desired, select the option to send an email notification to the prior recipients.

Viewing comments on shared files

If you opted to allow comments when you shared a file or a ConnectCAD report (see Sharing ConnectCAD reports), you can use the Shared Document Comments web palette to view and reply to comments, attach images to comments, and change the status of comments.

To view comments on shared files:

Open the shared file and select the command.

The Shared Document Comments web palette opens.

From the Shared set list, select a set to display its comments.

Comments associated with areas are organized by sheet layer, and comments associated with objects are organized by sheet layer and design layer.

Click a sheet layer or design layer to display its comments. If desired:

Filter which types of comments display by clicking the filter icon  at the top of the list and selecting a status in the Show statuses list.

Click the Reply field for a selected comment to enter a reply. Click the the overflow menu icon  on the right side of the comment, and then click the  Edit or  Delete icon to edit or to delete your reply. A comment can be edited by its owner up to 30 minutes after it has been posted, as long as no replies have been posted to it.

Click the attach image icon  to attach an image to a selected comment or reply.

Update status for the comment from the statuses list on the right side of the comment.

Click the  View on Cloud icon on the right side of the Shared set to open the shared file and its comments in the Vectorworks Cloud Document Reviewer.

Downloading cloud comments

The Shared Document Comments web palette displays a list of cloud comment threads that are linked to the Vectorworks file. When you download comments and comment areas from the cloud to Vectorworks, collaboration objects are created or updated in the Vectorworks file. (See the online help for Vectorworks Cloud Services for information about creating comments on areas and objects.)

To download cloud comments and create or update collaboration objects in the Vectorworks file:

From the Shared Document Comments web palette, click the download options icon , and then select Download markups.

A message confirms that the markups were synchronized with your file through separate collaboration objects on corresponding layers.

When comments are synchronized, you can click a comment thread in the web palette to highlight the commented area or object in the file.

Downloading cloud comments to the BCF Manager

If you use Bluebeam as a cloud review platform, you can select and download cloud comments to the BCF Manager (see The BCF Manager palette). Downloading comments also creates or updates collaboration objects in the Vectorworks file.

To add comments to the BCF Manager:

From the Shared Document Comments web palette, click the download options icon , and then select Add issues to BCF manager.

The BCF Manager web palette launches, and the Add Issues to BCF Manager dialog box opens. For more information, see Adding Bluebeam markups as BCF issues.
